STEP-BY-STEP GUIDELINES FOR ASSISTANT SUPERINTENDENT
(From Reporting to Final Submission)
🕘 1. BEFORE STUDENTS ENTER (At least 1 hour before exam)
1.1 Reporting
- Report to Centre Superintendent (CS).
- Sign duty attendance.
- Carry:
- School ID card
- “On Examination Duty” card
- Submit:
- Mobile phone
- Smart watch
- Any communication device
- Collect:
- “On Examination Duty” card
1.2 Receive Instructions
- Confirm:
- Room allotment
- Subject & Subject Code
- Seating Plan
- Ensure:
- 24 students per room.
- Seating strictly roll number wise.
🕘 2. ENTRY & FRISKING (9:00 AM – 10:00 AM)
- Ensure strict frisking (Male/Female separately).
- Check:
- Admit Card
- School ID (Regular)
- Govt Photo ID (Private)
- No entry after 10:00 AM.
- Ensure no barred items inside centre.
🕤 3. STUDENTS TAKE SEATS (9:45 AM – 10:00 AM)
- Students must sit only at allotted Roll Number desk.
- Maintain silence.
- Keep attendance sheet ready.
🕙 4. DISTRIBUTION OF ANSWER BOOKS (10:00 AM – 10:15 AM)
- Answer Books already stamped with facsimile signature.
- Give only ONE main answer book initially.
- Do not give supplementary unless main book is fully used.
🕙 5. DETAILED INSTRUCTIONS TO STUDENTS
(To be Read Aloud Before Question Paper Distribution)
You must clearly instruct students as follows:
📌 A. GENERAL INSTRUCTIONS
- Use only Blue / Royal Blue ball pen
- Do not write name anywhere.
- Do not make any special mark.
- Do not write Roll No. on maps or graph papers.
- Do not tear any page of answer book.
- Rough work must be done in right margin and crossed out.
- Write question numbers ONLY in the margin, not in centre.
- Do not write anything on question paper.
📌 B. HOW TO FILL OMR SHEET (VERY IMPORTANT)
Students must fill details neatly and accurately as per Admit Card.
LEFT SIDE OF OMR SHEET – Students Must Write:
- Subject Name
(Example: English Core) - Subject Code
(Example: 301 / 041 / etc.) - Day and Date of Examination
(Example: Monday, 17 February 2025) - Medium of Answer
(English / Hindi – whichever applicable) - Question Paper Code / Set Number
(As printed on top of Question Paper) - Number of Supplementary Answer Books used
(Write after receiving supplementary; If no supplementary answer book used – Write ‘NIL’)
For Children with Special Needs (If Applicable)
They must:
- Tick correct disability category.
- Mention whether writer/scribe provided.
- If visually challenged – write software name used (if applicable).
RIGHT SIDE OF OMR SHEET – Students Must:
1. Write Student’s Name in CAPITAL LETTERS
- One letter per box.
- Leave one blank box between name parts.
- Only first 24 characters if name is longer.
2. Write and Darken Bubbles Properly for:
- Roll Number
- Subject Code
- Centre Number
- School Number
- Roll Number in Words
- Father’s / Guardian’s Name
- Signature of Student
⚠ Ensure bubbles are darkened properly and completely.
📌 C. VERIFICATION BY ASSISTANT SUPERINTENDENT
You must:
- Check all entries carefully.
- Verify Roll No.
- Verify Subject Code.
- Verify Question Paper Code.
- Verify correct bubble shading.
- Sign in the space provided on:
- Main Answer Book
- Supplementary Answer Book (if issued)
DO NOT sign before verification.
🕥 6. OPENING QUESTION PAPER (10:10 AM)
- Open sealed packet in room only.
- In presence of two student witnesses. Please ensure that no student is used as a witness for more than one examination.
- Distribute at 10:15 AM.
- Students read only till 10:30 AM.
- No writing before 10:30 AM.
🕥 7. EXAM COMMENCES (10:30 AM)
Announce: “You may begin writing.”
Collect absentee question papers immediately and return to CS.
🕥 8. DURING EXAMINATION
8.1 Maintain Strict Vigilance
Watch for:
- Whispering
- Exchange of materials
- Bluetooth usage
- Suspicious behaviour
- Long idle sitting
8.2 Attendance Sheet
Ensure students write:
- Answer Book Serial Number
- Question Paper Code
- Supplementary Serial Number (if any)
- Signature
For absentees:
- Write “ABSENT” in RED ink.
- Encircle subject in RED.
📌 IMPORTANT ANNOUNCEMENT DURING EXAM
Inform students:
“Tearing any page of answer book is treated as Unfair Means and may lead to penalty.”
🕛 9. 10 MINUTES BEFORE END
- Ensure doors closed.
- Maintain silence.
- No student allowed to leave without permission.
🕛 10. END OF EXAM
Announce: “Stop writing immediately.”
🕛 11. COLLECTION OF ANSWER BOOKS
- Collect row wise.
- Count carefully.
- Verify:
- Supplementary tied with WHITE tag only.
- No loose sheets.
- OMR filled properly.
- Signature of student present.
Match:
- Answer books count = Students present.
🕛 12. HANDOVER TO CENTRE SUPERINTENDENT
Submit:
- Used Answer Books
- Attendance Sheet
- Absentee details
- Unused Question Papers
- UFM reports (if any)
Sign required documents.
🚨 13. IN CASE OF UNFAIR MEANS
- Seize material.
- Do not allow student to leave.
- Obtain written statement.
- Report to CS immediately.
- Prepare written report.
⚖ PROFESSIONAL EXPECTATION
Assistant Superintendent must:
✔ Remain impartial
✔ Not assist any student
✔ Not sit in one place continuously
✔ Not use mobile phone
✔ Not leave room unattended
✔ Strictly follow time schedule
🔎 FINAL RESPONSIBILITY
The Assistant Superintendent is the key authority inside the examination room responsible for:
- Fair conduct
- Accurate documentation
- Proper OMR filling guidance
- Prevention of malpractice
- Maintenance of sanctity of examination
Failure in duty may attract disciplinary and legal action as per CBSE rules.
